Prep Course & Tutoring Policies

Group Course Policies


  • A deposit payment of $200 is required to secure your space in a course.
  • Full payment for all group courses is due two weeks before the first course lesson. If you would like to pay the course fee in installments, let us know. We’re happy to help you arrange a payment plan. Please contact us before your course begins for details.
  • Course Refund Policy:
    • Your course deposit and any other course payments are fully refundable up to two weeks (14 days) before the first day of the course, minus a $25 processing fee.
      • Course deposits are not refundable less than 14 days before the course start date.
    • Within one week of a course start date, we will only provide a credit for course fees paid.
      • The credit may be used for any of our services.
      • The credit may only be used by the student or a member of the student’s immediate family; it is not otherwise transferable.
      • The credit expires one year from the date of the cancellation request.
      • There will be a $50 reenrollment fee when the credit is redeemed.

Course Repeat:

If you take an ACT, SAT or GRE group course with us and you were not able to make the best use of your lessons, we offer the opportunity of a one-time repeat of our next, scheduled course of the same type for $200, dependent upon space availability.

  • If your original course was condensed – fewer hours and offered at a reduced price – you will be asked to pay the difference in course fees, plus the $200 Repeat Fee.

**During the pandemic, if a test site cancels your official ACT or SAT, students in current group courses will be allowed to postpone their remaining lessons at no additional charge.  This offer is only available to the student taking the course and can only be used to prepare for that student’s next official test date for the same test.

Tutoring Policies

How to Set up a Tutoring Schedule:

  1. The first step is to complete our Tutoring Registration Form.
    • Please either include your prior test scores or take a diagnostic test with us. Your scores will enable us to accurately recommend a number of tutoring sessions to schedule for you.
  2. We will reach out by phone or email with any questions prior to scheduling your tutoring.
  3. We will work with you via email to finalize and confirm a complete tutoring schedule that suits your needs.
    • Students are scheduled with the same tutor throughout their prep, unless scheduling needs are too complex.

Scheduling/Administrative Hours:   

  • 10:00am – 6:00pm Mondays – Thursdays
  • 10:00am – 3:00pm Fridays
    • Scheduling, rescheduling and cancellation requests received outside of these weekday administrative hours are generally addressed the following business day.
  • Please provide all requests to schedule, reschedule or cancel appointments to our office email:
    • Having a virtual “paper trail” for scheduling helps to avoid miscommunication or misunderstandings about scheduling, rescheduling and cancellation requests.  Please do not leave a phone message for this!
    • Tutors’ schedules are managed through our office.  We cannot process schedule change requests over the phone, nor can tutors do so before, during or after appointments.


  • All tutoring fees are expected up front – before each appointment begins.
  • Your Tutoring Registration & Materials Fee is due when your tutoring schedule is confirmed – before your appointments begin.
  • You may pay for each appointment individually – “as you go” – or you may pay in advance for as many appointments as you’d like.
  • Refunds for sessions cancelled with 48 hours+ notice are subject to an administrative fee of $25; an additional 5% charge will be applied if the original payment was made with a card – to cover the credit card fees we remain obligated to pay.
  • If payments are not received each week or otherwise in a timely manner, and prior arrangements have not been made, we reserve the right to refuse service or to request that a student contact a parent/guardian to make the payment prior to beginning the tutoring session.  Late fees may also be applied if payment is not received within five days of receipt of an emailed invoice with an unpaid balance due.

Cancellation Policy:

We understand that many of our clients have very busy schedules and that situations arise that would require rescheduling or canceling an appointment.  We kindly request that you provide a minimum of 48 hours notice to avoid charges.

Each tutor’s time is reserved for their students so please prioritize your sessions and provide plenty of notice if you need to change an appointment day or time.  We always do our best to accommodate rescheduling requests within the following limitations. 

  • Appointments cancelled 24-48 hours in advance may be rescheduled at no additional charge IF the new appointment is booked and paid for within 3 days (72 hours) of the original appointment time.  If the appointment is not rescheduled within 3 days, we will charge 50% of the cancelled appointment fee.  
    • Please note:
      • During our busiest times, we may need to reschedule you with a different tutor if your tutor is not available during the times that work for you. 
      • The cancellation fee is due if we cannot reschedule your appointment within the 72 hour time frame for any reason.
      • The rescheduled appointment does not need to occur within 3 days – only the scheduling needs to happen within this time frame.
  • Full payment is expected for appointments cancelled with less than 24 hours notice and for those considered to be a ‘No Show’ with no notice of a need to cancel/reschedule.

Registering for Standardized Tests

Our group course and private tutoring programs do not include registration for the actual test. We are not affiliated with any of the official testing organizations - we provide practice tests only!
